Adding Participating Auditor or Observer to a Canvas Course (with a UNI).

  • Description of Role
  • Participating Auditor:
    • Instructors and Canvas admin can add this role
    • If added by Service Desk, this role needs confirmation from the instructor.
    • Canvas admin need approval from instructor to add a Participating Auditor
    • This role has exactly the same access and permissions as a student who officially registered for the course. 
    • Not registered for the course through the Registrar’s Office. 
    • Students added as Participating Auditors do not come up in Banner at the end of the semester when the instructor uploads final grades to Banner. 
  • Observer:
    • Instructors and Canvas admin can add this role
    • Canvas admin need instructor’s approval to add
    • This role is traditionally used for visiting scholars or users that need to see Canvas course content but will not see any student data. 
    • Anyone who is not a TC Student or Staff member should be added to a course as an observer. 

Ticketing Process

Participating Auditor Request

From a faculty member

1. Inform instructor that as a participating auditor a student will have the same functionality as a Student. However, if the student has officially registered for the class and it has been up to 48 hours and the course is still not appearing in canvas they will need to contact the registrars office.

2. Add the student to the course as a participating Auditor and give instructor Screensteps for adding students as participating auditors on their own.

From a student

1. Inform the student that you will need the instructor's approval to add the student to the course.

2. Add the instructor to the external worknotes for approval.

3. Once approval is received from the instructor add the student to the course as a Participating Auditor.

Observer request

From a Faculty Member

1. Explain the role of an observer to the faculty member.

This role is traditionally used for visiting scholars or users that need to see Canvas course content but will not see any student data. 

2. Once a faculty member has confirmed they want to add users to course as observers add the user to the course.

1. In Canvas click Admin in the global navigation.

2. Click Teachers College Columbia University.

3. In the courses section of the Admin Tools enter the name of the course you are searching for and the term. Click on the course.

4. Click People in the course navigation.

5. Click the + People button.

6. Click the Login ID button.

7. In the box, enter the UNI of the student you wish to add.

8. Click the down arrow in the Role box.

9. When the choices appear, select Participating Auditor or Observer from the dropdown List.

10. Click Next in the lower right.

11. You will receive a message that there were several possible matches. Click the circle next to the name associated with Teachers College listed as the Institution.

Do NOT select the student name associated with the @columbia.edu email address because the students will not be able to access the course in Canvas. Please email servicedesk@tc.columbia.edu if you need further assistance.

12. When the confirmation message appears, click Add User.

13. The person should now be listed as a Participating Auditor or Observer in the course.
